Can Hogeschooltaal tests be taken through ProctorExam?

Since May 26th 2020, you can administer Hogeschooltaal tests using ProctorExam. We are pleased to offer this service so our tests can be securely conducted outside of the school environment. Below, you will find all the information about the procedure, costs, and the agreements we have made with ProctorExam.

Schedule the test

After scheduling the test through our student monitoring system, please send us an e-mail to [e-mail] containing an Excel file. We need the first and last names of all students participating in the test, as well as email addresses and the corresponding test code so we can prepare everything in ProctorExam.

Communication to students

When the test is scheduled in ProctorExam, we will provide the students with the information they need. All testtakers receive an initial email from Hogeschooltaal. In this email we explain how they can log in and prepare for the test. We ask students to log in 15 minutes prior to the test. If students click on the ProctorExam access link more than 30 minutes after the official start time of the test, they won't be able to participate anymore. Additionally, students receive an email from ProctorExam with instructions to undergo a security check and install a plug-in. Once they've completed this, they receive another email with a link to get access to the test environment.

Questions/Issues During Test Administration

For issues related to Hogeschooltaal, students can contact our helpdesk by phone at 088-5226822. This information is provided in the instructional email they receive. For problems with the ProctorExam environment, students have access to a chat function.

System Requirements

ProctorExam can be used on the following operating systems:

• Windows 7 and newer versions;
• Mac OS X and newer versions;
• ChromeOS;
• Most Linux distributions (64-bit Ubuntu 14.04+, Debian 8+, openSUSE 13.3+, or Fedora Linux 24+).

ProctorExam only works with the Google Chrome browser.

During test administration, the following requirements are set:

• The student must install a plug-in in their Google Chrome browser. Once the student is registered for a test, they will receive an email with instructions to download this plug-in.
• The student must have a stable internet connection.
• The student must have a functional webcam and microphone.

For Hogeschooltaal tests, there is no additional monitoring through a smartphone. Therefore, Step 4 in the overview can be skipped.

Reporting

ProctorExam monitors the tests. Subsequently, we receive a summary of all ProctorExam notifications. We review the notifications and report any anomalies after three working days. In cases of suspicious activity or suspected fraud, you can review the student footage. We expect feedback afterward, so we can delete all the footage and not keep it longer than neccessary.

Costs

The costs for using ProctorExam in schoolyear 2023-2024 are €15,00 per student per test. These are the direct costs of ProctorExam. Note: This applies to students who are registered for a test, regardless of whether the student participates in the test or not.

This also does not include the standard fee for the Hogeschooltaal test service. The costs for using ProctorExam are invoiced monthly.

Review

Students have the opportunity to review their test immediately after its completion for 24 hours. It's possible to set a different review time. You can adjust this in the scheduled test.

Data Processing Agreement

Hogeschooltaal ensures student privacy through agreements with ProctorExam. We have entered into a data processing agreement regarding the processing of personal data of your students. By using ProctorExam, ProctorExam qualifies as a subprocessor as defined in that data processing agreement. If your educational institution chooses to use ProctorExam for testing, you are agreeing to the (sub)processing of personal data by ProctorExam. Due to third parties engaged by ProctorExam, some processing of personal data by ProctorExam occurs in the United States. The security and transfer of this personal data are guaranteed in a (sub)processing agreement between us and ProctorExam, meeting all applicable requirements of the GDPR. By choosing to test with ProctorExam, you also agree to the processing of personal data in the United States.
